 The mission of the Ocean Grove Camp Meeting Association (OGCMA), rooted in its Methodist heritage, is to provide opportunities for spiritual birth, growth, and renewal through worship, education, and cultural and recreational activities in a Christian seaside setting. 

Position: Receptionist

Reports to: COO/Director of Finance and Administration

Full-Time: Full-Time  

Summary:

The Receptionist is responsible for providing a professional and Christian first impression to all who call and visit the OGCMA.  In addition, the position offers a wide range of administrative functions that facilitate the various departments to effectively serve both the internal and external constituents of the OGCMA to further the mission of spiritual birth, growth, and renewal in accordance with the distinctive of the OGCMA. The position requires onsite performance of duties and is not eligible for telework except under emergencies. 

Essential Duties & Responsibilities:

  • Provide a welcoming greeting to all who enter or call. Be the hospitable first interaction to anyone visiting the OGCMA Administration Office at 54 Pitman Ave.

  • Response to requests for information. Redirect requests to appropriate staff, when appropriate, and ensue that responses are accurate, timely, and friendly.

  • Provide administrative support for all OGCMA office areas and to the COO 

Additional Duties:

  • Welcome visitors to the office. Ensure that the visitor’s questions are addressed while preventing them from wandering the office.

  • Answer the phone and represent well the OGCMA’s Christian values in tone and content.

  • Manage beach badge sales in the office from November through beach opening in June.

  • Pick up, sort, and distribute all mail and deliveries.

  • Enter all incoming checks into log and forward to Finance Department

  • Maintain a staff directory and important contacts information listing

  • Respond or forward to the appropriate OGCMA employee, emails from the general email account.

  • Coordinate staff events, staff meetings, and other social or team building occasions as requested.

  • Fill various duties and responsibilities as assigned by the COO and the Director of Finance and Administration.

  • Coordinate all utilities for year-around and seasonal buildings/tents/cottages.

  • Maintain front lobby: brochure racks filled, work orders, etc.

  • Monitor OGCMA outside bulletin boards and Broadway sign for accurate and attractive communication of OGCMA and auxiliary events.  Update social media sites as requested by Program.

  • Receive and log maintenance requests received from constituents.

  • Maintain all office equipment and office supply inventory.

  • Prepare Tide Chart for Beach.

  • Maintain and control the inventory of building keys.

  • Log all approved vacation requests on shared vacation calendar.

  • Handle print/copy/scan/laminate requests that come in from seasonal departments and/or auxiliary groups.

  • Coordinate Auditorium host program for the Auditorium during the summer season.

  • Patient and respectful firm when interacting with difficult visitors.

  • Respectful of the OGCMA supervisory chain

  • Trustworthy in maintaining confidentiality

  • Hardworking in relationship to finding productive uses of downtime for the OGCMA

Proficiencies:

  • Ability to transition back and forth from administrative tasks to receptionist interactions without a loss in productivity.

  • Ability to communicate clearly both orally and in writing

  • Ability to establish and maintain a positive rapport with people from all sectors of our constituency

  • Ability to work with Microsoft Office applications and Google services
